About DiMillo’s Yacht Sales:

DiMillo’s Yacht Sales is a professional yacht dealership and brokerage firm with six locations from Maine to Maryland. With over 25 years in the industry, we represent new yachts from Sabre Yachts, Back Cove Yachts, MJM, and Tiara Yachts, alongside pre-owned yacht sales. Our year-round service team is dedicated to supporting our new and brokerage buyers with comprehensive services including commissioning, yacht repair, and in-house captain services.

The Marine Parts and Inventory Manager serves as the primary coordinator for all aspects of marine parts operations, inventory management, and procurement while providing backup support to the service department. This role requires exceptional attention to detail, strong vendor relationship management skills, technical marine knowledge, and proficiency with dealership management systems to ensure superior parts availability and inventory control in a luxury marine service environment.

Key Responsibilities:

Parts and Inventory Management:

· Manage all aspects of parts ordering processes using IDS Marine Dealer Management software, including creating purchase orders, tracking order status, and updating technicians and customers on parts availability

· Monitor and maintain optimal inventory levels within IDS, setting up seasonal reorder points and conducting regular cycle counts to ensure accuracy

· Process parts receipts in IDS, verifying received parts against purchase orders and updating inventory records accordingly

· Coordinate with vendors and manufacturers to ensure timely delivery of parts, negotiating expedited shipping when necessary

· Manage special order parts in IDS, linking them to specific work orders and customers

· Generate parts inventory reports through IDS for management review, identifying slow-moving or obsolete inventory

· Reconcile physical inventory with IDS system records, investigating and resolving discrepancies

· Work with accounting department to ensure accurate parts pricing and costing in the IDS system

· Track parts warranty information in IDS, ensuring proper documentation for warranty claims

· Train and assist technicians in proper parts request procedures using the IDS platform

· Adhere to deposit request and receipt policies for all applicable parts orders

Service Advisor Support:

· Provide backup support to service advisors in creating detailed work orders and estimates for service requests, ensuring accurate documentation of customer concerns and required repairs

· Assist with maintaining regular communication with customers regarding parts status, timeline updates, and cost changes when necessary

· Support service technicians in identifying and ordering correct parts for repairs

· Help process warranty claims and maintain accurate documentation for manufacturer warranty requirements

· Assist in creating and maintaining detailed service records for all vessels when needed

Additional Responsibilities:

· Coordinate with DiMillo’s Yacht Sales brokers to fulfill parts requirements for commissioning work

· Support the Service Manager in implementing department procedures and maintaining service standards

· Ensure all parts documentation meets industry compliance standards and company policies

· Optimize parts department workflow and resource allocation

· Stay updated on manufacturer parts changes, supersessions, and updates

· Research and source hard-to-find parts for legacy marine systems

Requirements:

· 2-3 years of experience in marine parts management or related inventory control role

· Experience with dealer management software, with IDS Marine Dealer Management Software experience strongly preferred

· Understanding of marine systems and terminology, including basic electrical, mechanical, and water systems

· Strong initiative, creativity, and organization skills with the ability to ideate and implement reliable inventory management processes

· Demonstrated proficiency in parts inventory management systems

· Knowledge of marine parts supply chains and vendor relationships

· Excellent written and verbal communication skills with ability to translate technical information for customer understanding

· Detail-oriented with strong organizational and multitasking abilities

· Experience with warranty processing and documentation is preferred

· Valid driver’s license

· Ability to work occasional evenings and weekends as needed for time-sensitive projects

Compensation and Benefits:

Job Type: Full-time

Pay: $45,000.00 – $65,000.00 per year
